VSL "Student Contribution" auto-calculate for state funded learners
We have a number of learners who access state funding in addition to VSL for their courses and at the moment we manually calculate their student contribution, VSL amounts, and state funding to enter into the system during enrolment. Due to the number of learners we have with this funding combination, this is very time consuming.
The unit fee on a VSL class automatically calculates by using the EFTSL value of the unit of study on that class as a percentage of the total tuition fee. When we enrol the learner into a VSL class (assuming they are eligible for VSL), the system defaults to the maximum deferred amount on each unit (generally this is the same number as the unit fee i.e., the fee is completely deferred).
However, when a learner is accessing both VSL and state funding the system will still default to the same deferred amount. The total deferred amount (for all units together) in this case should be the tuition fee minus the total amount of state funding. This would be the learner's contribution. The maximum deferred amount for each unit of study should then be calculated using the EFTSL value of the unit of study as a percentage of the learner's contribution (and not of the total tuition fee).
We have tried to use Finance Models and Contracts to achieve this result automatically but it has not worked in the way we expected. The system sometimes would alter the unit fee to a reduced amount and other times it would still default to the full deferred amounts ignoring any other funding. I've gone through the support pages and have watched the webinar on this topic but even in the webinar the host manually calculates and fills in those fields or alters the unit fee to avoid the issue.
Can the system make this calculation for us automatically and apply it as the default deferred amount for an enrolment that has state funding applied?
