The Account Statistics tab of your System Settings allows you to view data related to the use of your aXcelerate account. This tab will show the total number of Contacts, System Users, Active Learners in the system as well as the amount of file storage being used.
Total Active Learners is the primary metric used to determine aXcelerate account license fees and whether any 'over limit' fees are applicable. The default period will display the start date and end date of your current 12 month service agreement period.

Note: Some clients that provide high volumes of short courses have user-based pricing where their license fees are based off of the total number of System Users as opposed to the number of Active Learners. Please refer to your license agreement to determine which pricing structure is applicable to your account. When using a User-Based license agreement, you are unable to add additional users to the system without increasing the tier of your license agreement. Please contact our Customer Success team if you would like to increase the number of System Users in your account.

Active Learner Report
This report gives you the total number of Active Learners in your aXcelerate system within a given date range. On page load, this report will generate with the date range being set as your service agreement period. You will also be able to view the distribution of enrolments across each course type in your system (Workshops, Classes and E-Learning).
An Active Learner is any contact that is enrolled in a Workshop, Qualification or E-Learning activity during your service agreement period with aXcelerate. Any students that have been enrolled prior to the commencement of the service agreement period, but have not completed their enrolment before the start of a new service agreement period, will also be included as Active Learners in the new billing cycle. The definition of contacts which will and will not be counted as Active Learners is outlined below:
- A contact who has been booked on a Workshop, where any day is inside your service agreement period. A cancelled booking is not included.
- A contact who has a class enrolment date inside your service agreement period with at least one unit enrolment, where the outcome identifier is not 'W' (With no Hours), 'NYS' or 'N.R'.
- A contact who is enrolled in a class with at least one unit enrolment, where any day between the activity start date and the activity end date or proposed end date, falls inside the service agreement period.
- A student that has been enrolled as a tentative enrolment.
- A contact that has not been enrolled in any learning activities.
- A student whose training took place outside of the service agreement period.
Tip: The Active Learners Report can also be generated via the Report Builder. Using the Report Builder will allow you to filter the data that appears in your report and customise the display of the results.
Note: If you exceed the number of learners allowed within your license tier, you will incur an additional fee for each additional Active Learner you have in your system above your learner limit. The fee for each additional over-limit Active Learner will depend on your license tier. Please refer to your license agreement for further information.
Warning: Setting a student's Contact Record as inactive will not exclude them from your Active Learner numbers if the student has participated in training within this billing period.
During your use of the system, you will need to store files of various types in your account such as images in the Images Library, documents linked to the Resource Library and documents stored against Contact Portfolios. The first 100GB of your data is free to store in our system, however, exceeding this amount incurs an annual fee of $100 + GST for each additional 200GB of data storage.
Tip: The total amount of file storage being used by your account is listed on the Account Statistics page under the Total Usage heading.
Note: We recommend that you do not store large files such as high-resolution videos in your aXcelerate account to prevent you from exceeding the data limit and incurring additional fees.
